im okay if..

im fine with october also, i live in lynchurg so it really woudnt be a big issue for me to get to DC. i cant get to a calender right now, but are any of those dates weekends? because i have to consider school.

They are all on weekends

starting on Friday evenings with setup and a social hour

and then Saturday and Sunday

yes there are,

I will get you the breakdown of the costs later today or tomorrow

but I paid $110 for the whole weekend, that includes table rent, dinner on saturday evening, and convention fee(which also goes to the room rental)

That would appear to make the weekend of 23/25 October the date for the 2009 convention. What may come as a surprise is that the hotel chose to block that one with the others on hold for two weeks until I got back top them. I would call that an omen. Now we just need to get the word out.
I will sign the documentation with the hotel signing up for all three rooms: the double we were in plus the two that I showed you before the meeting. I will then get a table layout and let folks request their tables with a first, second and third choice. I will ask the hotel to tell me how late we need to tell them that we will not be requiring a room in order not to have to pay for it in case the participation does not require that room or rooms. We saw that eighteen tables fit in the combined room we were in this year. I do not know how many can fit into each of the other two rooms, but will send that out with the information on deadlines for making reservations and payments so that we can insure that we only rent the rooms that we need. I plan on being in one of the additional rooms with the make and take and anyone who wants to join me or those who make their reservations too late to be in the large Washington Monument room we were in this year.
I will also let you know the costs involved. The hotel said that they would be the same as this year which would mean we should be able to keep the cost of participation at $110. If the calculations prove otherwise, I'll advise and let everybody vote on a course of action on the pricing.
I do not know how fast the hotel can put together the layout for the other two rooms, but hope that I can get that out to everybody by next week so you can start planning where you would like to have your table.
Thanks for all the quick responses which have enabled us to move forward. Now we need to concentrate on getting the word out and carrying out the other good ideas mentioned in the meeting.

if i go this year, it will be my first paper modelers confrence. will i have to run a table?,bring a model to show, exc?

I'm wondering about this too. I don't really want to drive from Dallas to DC (well actually I would like to but I won't be able to get that much time off in a row) and I don't trust airlines with my paper models...
