I checked...Hamvention is late May, so not really a big issue.
If this goes ahead, I'll look at the end of March, and April, for dates.

Another consideration is that the NCAA Play-In basketball games are played
in Dayton before the actual tournament starts, but that should be early to mid- March

Just wanted to check back in...let you know this idea is still alive.
I just haven't been able to get any further with it.

With the IPMC coming up next week, I was reminded of the urgency of planning something with enough lead time.

As I mentioned before, its difficult for me to physically "look" at Dayton area Hotels
(because I am in Canada)
and thats what I need to do before we can continue with any sort of planning.
I am forced to virtually examine the facilities...using web photos.

I looked through an online Hotel booking site, and managed to nail down a few possible locations.
I am preparing an email to send off to them, and hopefully find out more.

The goal is to get an idea of the available facilities:
-a large enough meeting room or area to hold the event?
-public access?
-availability on what dates? (in March? April or May?)
-Meals, Food, banquet facilites, catering, etc?
-costs involved for the facilities?
And of course:
-basic room rates and package deals
-etc

Once again, if anyone lives in or around Dayton and can check out a Hotel or two,
that would be greatly appreciated.
If you have suggestions for a Hotel location that suits our needs, please suggest it.

At first I looked at proximity to the USAF Museum, but I don't think thats important any more.
I am now just looking at Hotels with the facilities to host the event,
quality ratings (minimum 3/5 stars) and overall value.
Cheap room rates is nice, as long as it has what we need.

Yes, locals can tell you more about facilities. Being in insurance, I can tell you the top 5 hotels used here with a good description of the meeting rooms.

If anyone from Dayton is 65 and older, they can probably tell you where most of the Medicare-related meetings are held (and generally how good the food was at the meeting).

And I just found that all these Hotels don't have email addresses listed on theit sites.
Only phone numbers.
Which means long distance calls.

I really need someone in Dayton, who I can send to 4 or 5 Hotels.

Sorry for being late in the discussion. Been super busy with a new job for a while, but I just saw this conversation.

I live in the Dayton area, just a mile from the USAF Museum. I can see it from where I live.

We had our Wright Con event at at Hope Hotel.

Fairborn is the area you'd want to be close to the museum at.

To be honest I gave up on the worry of being close to the USAF Museum.
I would rather find the facility that has what we need at the best price.
Some of the Hotels nearer to the Museum are more expensive.
The Museum is something that people could visit when they are in Dayton.
but thats not what we are going there for.

The Hope, for example, is a little pricey on the Meeting Room rentals and Food options.
But still a good consideration.

A couple of the ones you mention are already on my list to check out.
A couple don't have proper size Meeting rooms.
I don't think the Red Roof had the right facilities.

I have a list of about 50 Hotels to consider.
I've narrowed it down to five to start with.
It would be a lot simpler if I could visit them and get a firsthand look.
I have a lot of questions and unknowns right now.

I don't how possible it'll be, but somebody should look into seeing if we can have the convention at the museum. I did a quick browse of their website, and they do mention military reunions and youth groups, but I couldn't find anything about public get togethers.

I know the museum near me does conventions, you can set up in whichever hanger you want, and they waive the entrance fee to convention attendees. Even though the Air Force Museum has free admission, maybe they'll have a space large enough to set up a few tables.
