Have you considered something like a 'GoFundMe.com' campaign to raise funds? Might be a way for people to pledge money but not pay until the full amount is funded (I don't really know how it works).
Springfield might also be an option if you're looking to cut costs. It puts you about a 25 minute drive from NMUSAF in Fairborn. I know there's a little civic center/museum in downtown Spfld which is used for a small wargaming convention each year. Of course, if people are flying in on commercial flights the Dayton area makes a lot more sense. --jeff |

Much farther drive, but Lima, Ohio has the tank plant (well it used to, and I think it still does), then do an excursion to Dayton
At lunch time, I would occasionally take my son to watch the tanks doing runs at the test facility, but that was long ago and is probably off-limits, now

First of all, none of the other towns around Dayton ( like Xenia, Lima, Springfield ... ) have commercial flights. Those are general aviation airport. Secondly, what is the point of meeting in a remote location that is cheaper? You will spend more getting around and renting cars than the cost of staying close. Also, The USAF museum is not in the downtown Dayton and hotels are less expensive outside the city center. You want to be where the action is and not waste time traveling in cars or taxis. Isaac

A Spring event in Dayton in 2017 is only 3-4 months away.
A Spring event in Dayton in 2018, is 15 months away. I see a lot more time to plan and do some fund raising, as I said. Not only will it alleviate some of my own financial burden if I can raise some funds, but it helps contribute to the event itself and reduce the final Participant Cost that I will need to charge. How is that not obviously a better money situation? I've already apologized for my lack of effort over the past year in not getting more organized with this event. But that still doesn't change the fact that I need a commitment from a minimum number of people, and I am asking Participants to fork over a larger lump sum to take part, and I have to put some of my own money up front for certain expenses. Respect...a lot of people need to decide a lot closer to the event, if they can take part. Many more people might sign up as we get closer. But, unfortunately, I can't move forward without that minimum figure right now. Dayton isn't perfect, but its an ideal choice for the event, since it is well located for many people, it is a city of sufficient size to offer a variety of Hotels and amenities, it has numerous attractions such as the USAF Museum, and it has a large International airport... Airport is a big factor, since we already have some long distance people who are considering the trip. The suggestions of other locations are much appreciated. I'd still love to see it closer to Canada. Unfortunately, moving the location doesn't change the problem factors I have with organizing this event. ... Hotel rates are not a big factor here. There are plenty of Hotels close to the Museum and WPAFB that have rates under $100 a night. (You'd be lucky to get a room in a decent hotel anywhere now for less than $80 a night!) But, the convenience of staying closer to attractions, and staying in the same Hotel where the event is planned, is worth a few bucks extra...in my opinion.

If I raise enough over the next year, to cover the Convention costs, I can go ahead and book everything without the Participant commitment. Then, when people sign up, it will offset the costs and replace some of the funds spent. Anyway, its an idea...a way to get a little more organized for a 2018 event?
