BIG UPDATE!

I have confirmed, with a Dayton Ohio Hotel, some of the costs related to an event on March 25, 2017.
They still have Banquet Rooms available and a willingness to host this event.They have a Bar and Restaurant on site for easy meals.
They do full catering and will cater a private Banquet for us.
They can add a cash bar, but as I said, they have a Bar/Restaurant on site.
They have everything we need including reasonable room rates.
(I am discussing room packages they might be able to offer)
But, understandably they need a decision very quickly.


I can confirm that I can lower the "Entry" Fee.

*If I have the numbers (of committed participants).

I can lower the initial Participant's Cost to $80...from $125.
Thats a huge drop (in my opinion)

Keep in mind, there are still additional fees for your Guest(s) and extra Display tables.

Heres the breakdown...
$80....the Event Fee, including one 8' Display/Vendor Table (2 Chairs)
and that also includes the evening Banquet meal and Awards Ceremony.

$40 ...for an Additional Guest (your Plus One) for the Evening Banquet and Ceremony.

$20 each...Extra Display Tables are available...as many as you like.

I don't think I can get any lower than that.
I'm still negotiating a complete price based on how many attendees there are.
With the figures I have now, I know I can lower the price to $100,
but I'd rather go for the head count and drop it all the way to $80And theres the hitch....I need a larger head count.
As it stands, I have about 9 or 10 serious committments (to attend).
Hopefully that still stands.

I also have another half a dozen "maybes".

With this new price of $80, I am hoping i can turn those maybes into positives
and find a few more definites.

With at least 20 committed attendees, this thing is a go.

Please think about it, and post here if you are interested.
Those that I already have on my YES list, please only post if things have changed for you and you will not be able to attend.
I want to hear from the MAYBES, and anyone new willing to commit.

okay...enough time has passed...
its time to officially put this idea on hold.


I'm sorry to say that I just haven't any more commitments
to fork over the entry fee and take part in the event.
Its not just a money thing...its also about having a sufficient number of exhibitors to make it a worthwhile event.

Don't worry, I understand completely, why some people just can't commit.
Whether it be for financial reasons or life reasons.
I have the same considerations.
And, I understand the timeframe issue...many of you have jobs or other personal obligations.

I'm sure some of you may sign up at a later date,
but I have to consider the initial financial expenses and commitment costs (out of my own pocket).
If I had the money, I would not even think about.
Just go ahead and book everything and hope I recovered costs at a later time.
But I just can't do that...thats why I was hoping to get a minimum number of committed individuals to take part.

And...I must thank, the nine individuals who gave me that commitment!
And, the six "maybe" participants.

I even appreciate the two individuals who took the time to privately let me know why
they could not/would not be taking part.

I hope you all can understand this was something of a dream project,
and something we might still be able to organize in the future.

I'm already thinking about some Fund Raising ideas,
and maybe over the next year I can raise some funds that might be used for a 2018 event.
At least it would give me that edge over the up-front out-of-pocket expenses
and allow me to go ahead and organize the event regardless of the number of attendees
...and beg for financial help afterwards. lol

Well Dave, no one can say you didn't try! I'm disappointed it won't happen, but f you want to just meet up with me, Texman and whoever else might show up for a beer and chat, I'm in! I'll even buy the beer....(that should stir up some modelers).

I tried, but unfortunately my job awards vacation time based on seniority, and I've only got 6 months in. The weeks of the Dayton convention and the Big IPMS convention are very popular unfortunately.

Yes Dave, a big thank you. I too have been involved with organizing a convention and know the hard work that goes into it.
Let's all hope that next year will see a spring convention.

maybe meet in the same Hope hotel by Wright Patterson base ( just outside the gate ) where the Dayton IPMS monthly meetings take place?
